A buyer with a certification obligation cannot simply place an order with a new shop. It has to establish that the supplier can hold the requirement repeatedly, and record that it established it.

**A desk audit** reviews documents: the quality manual, certification certificates and their scope, procedures, calibration records, and financial standing. It is the cheaper form and it is often enough for lower-risk work.

**An on-site audit** adds a visit. An auditor walks the floor, checks equipment and calibration, reviews traceability, and examines how nonconformance is handled. For medical device and aerospace work it is frequently mandatory rather than optional.

**Findings produce corrective action requests.** A finding is not automatically disqualifying: the supplier responds with a corrective action, the buyer verifies it, and the audit closes. That exchange is normal and it takes time.

Passing places the supplier on the buyer's **approved supplier list**, which is what actually permits purchase orders to be issued. Certification qualifies a supplier for requests for quote in a category; the audit qualifies it for one buyer.

This is why the industrial buying cycle typically spans several months to more than a year, and why the incumbent supplier holds an advantage unrelated to price. The audit cost is paid again for every replacement.

For a supplier, the audit is also a content opportunity that most shops miss. **Publishing what a buyer would find in a desk audit shortens it**: certification scope, calibration programme, inspection equipment, traceability approach, and how nonconformance is handled. A buyer able to complete most of the desk review from the website starts from a shorter list of questions.
