A [request for quote](/glossary/rfq) is not a form to be filled in. It is a specification package, and the fields exist because a supplier cannot price without them.

## The required fields

**Part identification.** A part number, revision, and description. Revision matters more than it looks: quoting against the wrong revision produces a price for a part nobody wants.

**The drawing or model.** A dimensioned drawing, a CAD model, or both. A model without a drawing omits tolerances and finishes; a drawing without a model costs the supplier programming time it will price in.

**Material and grade.** The specific alloy or resin, not a family. Substitution rules if any are acceptable, because a supplier who can offer an equivalent at lower cost cannot suggest it without knowing whether it is allowed.

**Quantities, as breaks.** Not one number. Setup cost amortises across a run, so a quote for 100 and a quote for 1,000 are different prices per part, and a buyer giving one quantity learns nothing about the shape of the curve.

**Tolerances and critical dimensions.** Which features are critical and which are reference. A drawing where every dimension carries a tight tolerance gets priced as though every dimension is critical.

**Finish and treatment.** Plating, coating, heat treatment, passivation, marking.

**Delivery requirement.** A date or a rate, and whether it is firm. First article timing separately where relevant.

**Certification and inspection.** Which quality system the supplier must hold, what inspection documentation ships with parts, and whether first article inspection is required.

**Commercial terms.** Payment terms, tooling ownership, packaging, and shipping point.

## The fields that help and are usually omitted

**Target price**, where one exists. Buyers withhold it believing it anchors the quote high. In practice a supplier who cannot hit the target will no-quote early rather than spend estimating time, which saves both sides a cycle.

**Annual volume**, alongside the immediate order. It changes tooling amortisation and whether a supplier invests in the setup at all.

**The application.** What the part does. A supplier who understands the function can propose a cheaper way to achieve it, and that suggestion is frequently worth more than the quote.

## What a supplier does with an incomplete package

Three outcomes, all bad for the buyer.

The supplier **asks**, which adds a cycle to a process that already spans several months to more than a year.

The supplier **assumes**, prices against its own reading, and returns a number that cannot be compared with a competitor who assumed differently.

The supplier **no-quotes**, because estimating time is expensive and an unclear package signals a buyer who will be expensive to work with.

The first is the good case. Incomplete packages cost the buyer more than the supplier, which is the part buyers consistently underestimate.
